Privacy Policy

1. Who we are

Racket365 is a platform that racket-sports clubs use to run leagues, court bookings, memberships, a club store, waivers and payments. It is operated by iGEN Service LLC, a Georgia limited liability company ("Racket365," "we," "us"). This policy explains what personal information we collect, how we use and share it, and the choices you have.

It applies to racket365.com and the Racket365 apps (the app you can install from racket365.com, and the iPhone and Android apps). Each club ("Club") that uses Racket365 decides what it asks its members for and what it does with that information; Clubs are responsible for their own privacy practices. When we process member information for a Club, we do so to provide our service to that Club.

2. Information we collect

Information you give us

CategoryWhat it includes
AccountName, email address, phone number, password (stored only as a one-way hash), optional profile photo, sport and skill level.
Age groupWhether you are 13–17 or 18 or older, and when you told us. We never ask for your date of birth or exact age. If you are 13–17, that a parent or guardian agreed to our Terms.
Club activityThe Clubs you join, league registrations and answers to a Club's registration questions, matches, scores and standings, team and line assignments, court bookings, memberships, store orders (including a shipping address if a Club ships goods to you), and notes you add.
WaiversYour electronic signature (a drawn or typed signature saved as an image), the date and time, the waiver version, and the IP address and browser details recorded when you signed.
PaymentsAmounts, what they were for, status, refunds and disputes. Card payments are made on Stripe's checkout page — we never receive or store full card numbers. For a Club's own card (used to pay Racket365's fees) we keep only the card brand and last four digits, so the Club can see which card is on file; the card itself stays with Stripe.
Club detailsFor Club administrators: the Club's name, address, contact details, logo, description, sports offered, payment instructions and Stripe account status.
InvitationsEmail addresses that Club administrators enter to invite people.
Public league pagesWhether you chose to appear on public league pages, when, and how your name is shown. If you are 13–17: the email address of the parent or guardian you name, and whether and when they approved or declined.
Messages to usWhat you send to support@racket365.com.

Information collected automatically

  • Technical logs: IP address, browser type, the pages and actions requested (without one-time codes, such as those in verification links), and timestamps, kept by our hosting provider to run, secure and debug the service.
  • Sign-in records: each time you sign in, and each time the app renews your sign-in, we record when it happened, your browser and device type, and your IP address, to keep accounts secure.
  • Card forms: when you pay by card, or a Club administrator saves a card, Stripe receives your IP address and details about your device and browser on its form and checkout page, to prevent fraud (see our Cookies Policy).
  • Browser storage: sign-in tokens, your selected Club and your cookie choice, stored in your browser so the app works; in the iPhone and Android apps, a copy of your sign-in is also kept in your phone's secure storage. See our Cookies Policy. We do not use advertising or cross-site tracking cookies.
  • App notifications: if you use the Racket365 iPhone or Android app and allow notifications, we store a notification token for your phone, whether it is an iPhone or an Android phone, and when the app last used it, so we can send your Club's updates to that phone. Nothing is stored until you allow notifications.
  • Visit statistics: when you visit racket365.com, our analytics provider Umami counts the visit. It receives the page address (without anything after “?” or “#”, and with invite codes and record numbers removed), the site you came from, your browser, operating system, device type, screen size and language, and your approximate country and region, worked out from your IP address. It uses no cookies and does not receive page titles or your account details; Umami states that it stores no personally identifiable information. Browsers that send a Do Not Track or Global Privacy Control signal are not counted, and you can turn counting off in our Cookies Policy.

Information from others

  • Your Club: a Club administrator may add you as a member (name, email, phone, skill level), assign you to teams and enter results. If a Club creates your account, we email you to say so, listing what it gave us, with a link to set your own password and to this policy. If you don't set a password within 90 days, we close the account and delete the details the Club entered.
  • Stripe: payment, refund and dispute status, and the status of a Club's Stripe account.

3. How we use information

  • To provide the service: accounts, Clubs, leagues, schedules, scores and standings, bookings, memberships, store orders, waivers and payments.
  • To send service emails, such as sign-up confirmation, password resets, schedules, match results, line-ups, booking and payment confirmations, receipts, refund notices and membership reminders. We do not send marketing emails.
  • To send notifications to your phone, if you turned them on in the Racket365 iPhone or Android app: your Club's updates, such as new matches and schedules, results, line-ups, registrations, bookings and payments. You can turn them off in your profile (Phone notifications) or in your phone's settings.
  • To process payments through Stripe and to charge Clubs Racket365's fees.
  • To keep the service safe: preventing fraud and abuse, limiting repeated sign-in attempts, and securing accounts.
  • To apply our age rule (13 and older) and our Terms of Service.
  • To provide support, and to comply with law, tax and accounting requirements.
  • To show the public league pages a Club chooses to share, naming only people who opted in (section 4), and to email a parent or guardian to ask for their approval when a 13–17-year-old opts in.
  • To fix problems and improve the service, including counting which pages are visited, without identifying you.

We do not sell personal information, and we do not share it for targeted advertising.

4. Who can see your information

  • Your Club's administrators can see your name, email address, phone number, skill level, registrations, bookings, memberships, orders, payments and waiver signatures for their Club.
  • Other members of your Club can see your name, profile photo, skill level, the leagues and teams you are in, your matches and your results.
  • Anyone with a league's public link, if your Club shares one: the Club's name and logo, the league's name, team names, the standings, and the matches for the next 7 days. Your name (shown the way you chose) and your results appear there only if you opted in and, if you are 13–17, a parent or guardian approved; otherwise you are shown as "Private player". Anyone who can see the page may copy or share what it shows. You can withdraw at any time in your profile, and your name and results are removed straight away.
  • Your Club, through its own Stripe account, receives the details of card payments you make to it (for example, your name, email and the amount). Stripe handles that information under its own privacy policy.

5. Service providers we use

These companies process information on our behalf, only to provide their service to us:

ProviderPurpose
RenderHosting the app and its logs (United States)
NeonDatabase (United States)
UpstashShort-lived data such as password-reset links (United States)
ResendSending service emails
StripeCard payments, Club payouts and Racket365's fees; it receives IP addresses and device details to prevent fraud
CloudflareDomain name and network services; visits pass through its network, so it sees visitors' IP addresses. On the sign-up page, its Turnstile check looks at signals from your browser and connection to tell people from automated programs; Cloudflare uses them only for that check, and we receive only a pass or fail
ZohoOur support mailbox
UmamiCounting visits to our website, without cookies
Google FirebaseDelivering notifications to the Racket365 iPhone and Android apps (Firebase Cloud Messaging; to iPhones through Apple's push notification service). They receive your phone's notification token and the notification's title and text, never your password or payment details

We may also disclose information if the law requires it, to protect people's safety or our rights, or as part of a merger, acquisition or sale of our business, in which case we will tell you before your information becomes subject to a different privacy policy.

6. How long we keep information

The periods below are when information becomes due for deletion. We delete it in our regular maintenance, normally within 30 days after that date.

  • Account information: while your account is open. We do not close accounts for inactivity. When you ask us to delete your account, we remove or anonymise your personal details within 30 days, with three exceptions: records that belong to your Clubs stay, showing a placeholder ("Closed account") instead of your name; payment records are kept as described below; and waiver signatures you gave a Club stay with that Club's records. Shipping addresses on your store orders are deleted, and invitations sent to your email show the placeholder instead of the address.
  • Club records (leagues, matches, results, registrations, bookings, memberships, orders, notes and waiver signatures): each Club decides how long it needs them, and we keep them while the Club uses Racket365. Club administrators can delete a league at any time, which removes its matches, registrations and standings.
  • When a Club closes its account: we offer the Club a copy of its records, then delete the Club's information, including its waiver signatures and the card it saved for Racket365's fees, normally within 90 days of its request. Payment records are kept as described below.
  • Payment records: 7 years after the payment, as tax and accounting rules require, then deleted.
  • Sign-in records: until 90 days after the sign-in expires, or until your account is deleted if that comes first. A sign-in lasts until you sign out, or until 30 days after you last use Racket365.
  • Technical logs: 7 days. Our hosting provider keeps its request logs, including IP addresses, for 7 days and then deletes them; we can't remove one person's entries sooner.
  • Backups: information we delete can stay in our database provider's restore history for up to 7 days, and is then gone.
  • Accounts never confirmed: an account that is never confirmed is deleted 30 days after sign-up, together with any club it set up that has no players or payments.
  • Accounts a Club created that nobody claimed: closed, and the details the Club entered deleted, 90 days after the account was created if no password was set.
  • In-app notifications: 12 months.
  • App notification tokens: deleted when you sign out of the app on that phone, turn phone notifications off, change your password or sign out everywhere, or delete your account, and in any case after 6 months without the app being used on that phone.
  • Your public-page choice (and, for 13–17, your parent or guardian's email and answer): while your account is open; removed when it is deleted.
  • Visit statistics: up to 6 months, then deleted by Umami. They contain no names, email addresses or account details.
  • Our record of a privacy request (who asked, what for, and how we answered): 2 years after the request is completed, then deleted.

7. Your choices and rights

You can view and update most of your information in your profile. You can also ask us to:

  • give you a copy of your personal information, in a portable format;
  • correct information that is wrong;
  • delete your account and personal information, subject to the records we must keep (section 6);
  • tell you what we collect and who we share it with.

You can delete your account yourself at any time: Profile → Delete my account. For anything else, or to ask us to delete it, email support@racket365.com from the address on your account. We may need to confirm it is you. Some US states give their residents these rights by law; we honour them for every user. We will not treat you differently for using them.

Information Racket365 controls

Your account details, sign-in records, app notification tokens, our technical logs and visit statistics. We handle these requests ourselves and respond within 30 days.

Information a Club controls

A Club's records about you: registrations, results, bookings, memberships, orders, notes and waiver signatures. You can ask the Club's administrators directly, or email us: we pass your request to the Club within 5 business days and tell you which Club holds the information. If the Club has not acted within 30 days, we follow up with the Club and, where the law requires it, handle the request ourselves.

8. Children and teens

Racket365 is for people aged 13 and older. Everyone picks their age group when they sign up (under 13, 13–17, or 18 or older; never a date of birth), and accounts created before we asked are asked on their next sign-in. People under 13 cannot create an account. If we learn that an account belongs to someone under 13, we close it and erase its personal details.

People aged 13 to 17 may use Racket365 only if a parent or guardian has agreed to our Terms on their behalf, which they confirm when signing up. A 13–17-year-old's name and results appear on public league pages only if they opt in and a parent or guardian approves by email; either can withdraw at any time. If you believe a child under 13 has given us personal information, contact support@racket365.com and we will delete it.

9. Security

We protect information with encrypted connections (HTTPS), passwords stored only as one-way hashes, short-lived sign-in tokens, access controls that keep each Club's data separate, limits on repeated sign-in attempts, and card payments handled entirely by Stripe. No system is perfectly secure; if a security incident affects your personal information, we will notify you and the authorities as the law requires.

10. Where information is processed

Racket365 is offered in the United States, and information is processed and stored in the United States.

11. Changes to this policy

If we make material changes, we will tell you by email or in the app before they take effect. The date at the top shows the latest version.
